Vehicle credits and your subscription
Your subscription is made up of vehicle credits — one for each vehicle on your fleet. This guide explains how they work, what happens when you remove a vehicle, and how to buy more or reduce what you're paying for.
By the end of this section, you'll understand:
- What a vehicle credit is and how many you have
- What happens to a credit when you remove a vehicle
- How to buy more credits
- How to reduce your subscription
- What to do when you run out
What a vehicle credit is
A vehicle credit allows one vehicle on your fleet. Your subscription is simply the number of credits you hold, billed monthly.
To see where you stand, click MANAGE in the navigation bar, select Company settings, and look at the Credits section. The Vehicles line shows how many are in use out of how many you hold — for example 3 / 10.
When a credit is used
A credit is taken when you add a vehicle, however you add it:
- Adding a vehicle from the Vehicles page
- Adding a vehicle through a group
- Uploading vehicles in bulk
💡 Bulk uploads take one credit per vehicle in the file. If you're onboarding a large fleet, make sure you hold enough credits before you upload.
What happens when you remove a vehicle
⚠️ A credit belongs to the vehicle it was used on. When you remove that vehicle, the credit is consumed with it — it does not return to your pool for use on a different vehicle.
So if you run ten vehicles, dispose of one and replace it, you'll need a credit for the replacement.
"You've used all your vehicle credits"
You'll see this when you try to add a vehicle with no credits left. Every credit you hold is either attached to a vehicle or has been consumed by one you've since removed.
To carry on, buy more credits.
Buying more credits
- Click MANAGE, then Company settings.
- In the Credits section, click Add credits on the Vehicles line.
- Set the number under Select number of vehicles. Credits are £4.99 per vehicle, per month, and the Total line shows what your subscription becomes.
- Click Purchase.
Your subscription increases and the credits are available straight away.
Reducing your subscription
If you hold credits that aren't attached to any vehicle, you can remove them and reduce what you pay.
- In the Credits section, click Remove unused credits.
- Set the number under Select number of vehicles to remove. The window shows your Current subscription and the New subscription side by side.
- Click Continue.
⚠️ The window opens with every unused credit already selected, and Continue applies the change immediately — there is no confirmation step. Check the New subscription figure before clicking.
💡 Only credits not in use can be removed.
💡 Removing a vehicle does not free a credit for removal — the credit is consumed rather than released. The credits you can remove are ones you bought and never used.
Your invoices and payment method
Click Manage Subscription in the Credits section to open your billing portal, where you can see your current subscription, next billing date, payment method and invoice history.
Cancelling
To cancel your subscription, contact CarCloud customer support. Cancellation isn't done from Company settings.
Planning ahead
- Buy credits before a bulk upload, not during one.
- Allow for fleet churn. If you replace vehicles regularly, factor that into how many credits you hold.
- Check the Vehicles line before onboarding — it tells you at a glance how much headroom you have.
What's next?
- See Company settings for everything else on that page.
- See Vehicles management to add or remove vehicles.
